With clinics across major destinations including Niseko, Rusutsu, Hakuba, Myoko, Nozawa Onsen, and soon Furano for the 2026/27 season, we are an established part of life in the snow. Position Overview
We are seeking a proactive and personable Receptionist to join our winter clinics for the 2026/27 season. As the first point of contact for our patients, you will play a key role in ensuring a smooth and professional front desk experience. This position involves booking appointments, handling billing and payments, and communicating with physiotherapists and massage therapists, requiring strong organisational and communication skills.
Key Responsibilities
- Greet patients warmly and professionally, creating a positive first impression
- Manage appointment scheduling and rescheduling, both in person and over the phone
- Coordinate with physiotherapists and massage therapists to ensure efficient patient flow and clinic scheduling
- Process patient payments, issue receipts, and manage end-of-day cash
- Oversee direct billing processes for insurance companies
- Maintain accurate patient records and handle confidential information with care
- Support daily front desk operations and assist in general administrative tasks
What We're Looking For
- At least 1 year in clinic administration or customer service within the healthcare industry
- Strong communication skills in English (Japanese is a plus but not required!)

Comfortable using scheduling or practice management software (e.g., Cliniko, Square, Circle, Excel/Google Sheets)
- Highly organised with excellent attention to detail
- Able to remain calm and professional in a busy, fast-paced environment
- Adaptable and comfortable living in shared accommodation
- Eligible for a Working Holiday Visa or valid work permit in Japan (please ensure you meet the eligibility criteria before submitting your application)
